Some Useful Features of Outlook and Their Usage

MS Outlook is among the most popular email clients today. Whether you have personal emailing requirements or professional, you can set up an account in Outlook and manage your multiple email accounts under one roof. Apart from this, Outlook hosts some more useful features, using which you can fulfill your unique requirements. These include sending a secure email in Outlook, setting up out of office, and Outlook block sender.

Here, we will discuss what these features offer and how you can configure your Outlook account using them. Read on to explore.

Sending a Secure Email in Outlook

Outlook has this unique feature of sending a secure email. This allows you to keep your email content safe and secured from potential online threats. Moreover, this feature of Outlook ensures protection of your email data from leakage. If you have an Outlook account and are wondering how to send a secure email in Outlook, you can do so by following some simple steps. Here’s a look at them:

Open Outlook on your device and click on the ‘File’ tab.

Click on ‘Trust Center’ and select ‘Trust Center Settings’.

Select ‘Email Security’ and then click on ‘Encrypt Contents and Attachments for Outgoing Messages’; click on ‘OK’.

Now, you can compose your email and click on the ‘Send’ button to send the secured email in Outlook.

Out of Office in Outlook

Another useful feature of MS Outlook, ‘Out of Office’ allows you to set an automatic message reply that can be triggered in your absence. It means, whenever someone sends you an email in Outlook, by setting Out of Office, an automated message reply will get triggered. All you need to do is access Outlook settings and set this automated Out of Office message. If you don’t know how to set up out of office in Outlook, follow the series of steps mentioned under:

Launch MS Outlook on your computer and click on the ‘File’ tab located in the upper-left corner of the Outlook window.

Select ‘Automatic Replies (Out of Office)’.

Click on ‘Send automatic replies’ and then type in your desired automatic reply message in the required space.

While performing the series of steps mentioned above, you can set a time limit by when you will remain unavailable. As such, whenever someone sends you an email, he/she will receive an automated email response stating your ‘Out of Office’ message for the set time period.

Block Someone on Outlook

Instances might happen when you no longer want to receive an email from a specific person due to a certain reason. In such cases, you might want to block that person in order to stop receiving any emails from him/her. Like other email platforms, Outlook, too, offers you an excellent opportunity to block someone. Once you block a person in Outlook, the person can still send you emails; however, they won’t be delivered to you. You can configure Outlook block sender by following some simple steps. In future, if you ever want to unblock that sender, you can do that as well.

To block a person in Outlook, you can follow the series of steps mentioned below:

Launch Outlook on your device and click on the ‘File’ tab.

Open the Inbox folder and select the emails or senders you want to block.

Select Junk > Block from the top toolbar and click on ‘OK’.

All the emails you’ve selected will now be deleted and any future emails will be blocked.

Unlike any other email clients, Outlook has a lot to offer. Ranging from sending a secure email and setting out of office automated replies to blocking someone, you can follow the mentioned steps to enable the features of Outlook in no time.
