How to use Zoom, Google Meet, and other remote working applications amid coronavirus

Info

The total downloads of corporate applications like WeChat Work, Zoom, Tencent Conference, Microsoft Teams, Google Meet, and Slack have registered increased figures since the outbreak of Coronavirus.

According to Sensor Tower, an app analytics firm, such business tools acquired around 1.4 million new users in both App Store and Google alone in January, 2020. While the number jumped to 6.7 million in the 1st week of March.

Apparently, WHO has declared the outbreak as pandemic. The outbreak has halted flights, routine commuting, and several dynamic businesses in their tracks.

As the outbreak is also taking US rapidly, several companies has installed work-from-home measures in their SOPs and discouraging non-relevant travel.

Let’s go through some insights and tips form industry experts on how to use remote working applications in order to keep the corporate proceedings going.

Don’t resist video conferencing

Obviously, video conferencing can never become a substitute to face to face conversations, but most of the tasks can be effectively handled over calls. We can even conclude that video calls will quickly become “second nature”, given the rise of digital media. However, employees need to willingly accept the corporate shift and give it equal preference as those to traditional sit-downs.

Managers have to create a culture of trust and reliability

Creating a sense of trust is vital is you want your team to function seamlessly at the best of their abilities. While the case for business correspondences through video calls tools is no different.

Managers need to get convinced that their employees will get the work done as committed through the call, and the same expectations should be on the employees’ side as well.

Employees need to be extra diligent and pay attention

It’s easy to get distracted by countless things around you when on a video call. Hence, realizing the need to stay extra diligent and attentive over video calls is important.

Employees are easily tempted to check their social media and email at their desk and not at a conference. Therefore, avoid the temptation to reach out for your mobile phone especially when all the attendees in conference could see is your face.

Employers should create an office social contract

We only tend to take things serious when some instruments, tangible or intangible or both, are at stake. The participants need to treat a digital meeting as they would an in-person meeting.

Even though laptops down at office meetings are often preferred, but the same concept can be applied on video calls by turning off your smartphones, tablets, etc.

All the attendees can see you, so stay focused

The tendency to multitask over video conferencing is highly discouraged, as many other participants can see your face. And you don’t need to create an awkward atmosphere where everyone is focused on each other and you’re busy rummaging through your stuff, or swiping down your phone.

Video conferencing don’t have to be too serious

As thecoronavirus outbreak is nearing its peak and remote working is get more and more common, there will be plenty of time you’ll be video calling your colleagues, manager, etc. every now and then.

Besides the professional correspondences, video calls can also replace social interactions. For instance, try using Google Hangout over lunch with colleagues with no specific agenda set.

Keep the video feature on

In order to make video calls and meetings most productive, ensure that the video feature is up and working. Apparently, you need to stay attentive and do not miss out important visual cues discussed and seen throughout the meeting.
